Advancement Operations Manager

The Advancement Operations Manager will assist the Advancement Team to sustain and grow revenue diversification and financial sustainability of the University City Science Center. The Manager will conduct prospecting and research to facilitate meaningful insights into internal and external conversations about fundraising pipelines. This individual should possess a strong advancement operations foundation and be knowledgeable of technology in support of Advancement.

The Advancement Operations Manager will maintain the Advancement Team’s budget, providing comprehensive monthly reports and taking a leadership role in maintaining database integrity, prospect management, reporting, list preparation, data analysis and overall procedural enhancements. This role entails overseeing the advancement portion and data integrity and integration of the Customer Relationship Management (CRM) system (Salesforce Nonprofit Cloud).

The Science Center sits at the intersection of three ecosystems: start-ups, healthcare/life science and community. In line with the strengths of the organization, this individual should have familiarity with all three ecosystems and possess an entrepreneurial mindset and approach to prospecting and researching new relationships and partnerships creatively. This role will apply strong systems thinking and project management skills.

The Advancement Operations Manager has internal contacts with the entire staff and external contact with corporate, foundation, academic and community relationships. This position has access to sensitive Science Center information and is expected to handle such information with integrity and professionalism. This position is expected to represent the Science Center in a professional manner.The Advancement Manager Operations will report directly to the Director of Advancement. This position will participate in department activities, as necessary.

Essential Functions

  • Lead and oversee the daily operations of the department including prospect research, pipeline development, constituent data analysis, and preparation of recommendations, presentations, and reports.
  • Oversee the implementation of a prospect scoring system and pipeline management for all Sc programs and initiatives.
  • Help identify new event sponsorships, speakers, and vendors as appropriate and in accordance with the Science Center's strategy and operating plan.
  • Manage and coordinate department efforts with internal Sc teams to identify prospective donors, craft proposals and steward received funds.
  • Oversee donor stewardship needed, e.g., compliance reporting, scheduling of meetings, event planning, written updates and implementation of benefits.
  • Maintain the integrity of the advancement assets (reporting, donor/prospect data) within Salesforce.
  • Deliver timely, accurate, comprehensive advancement reports using the CRM.
  • In conjunction with the Marketing team, create compelling Advancement assets.
  • Support planning and execution for the annual stewardship and fundraising events.
  • Complete special projects specific to the function of the department or as needed for the department as directed by the SVP, Strategy & Partnerships.

  • Ability to synthesize broad industry trends to business proposals and foundation application processes, calendars, and deadlines.
  • Ability to effectively plan and coordinate meetings, site visits, and other fundraising activities.
  • Ability to operate a computer and use common software programs including CRM (Salesforce preferred), Microsoft Office Suite, spreadsheets, iWave, and other customized databases.
  • Understanding of the Science Center's mission, goals, and objectives and ability to work independently.
  • Strong awareness of market trends and competitive offerings.
  • Participate in the development of a departmental budget and fundraising forecast as part of the organization’s budget preparation process and operate within budget limitations.

Experience, Education, and Licensure

Minimum Experience
  • 3-5+ years of demonstrated experience in advancement operations and multiple phases of fundraising (research, prospecting, business development, annual giving, major gifts, special events).
Minimum Education
  • BA/BS degree from an accredited college or university in a related field of study or equivalent work experience.
